Executive Assistant/
Administration

Status: Permanent / Full time (35 hours/week)

 FUNCTION & RESPONSABILITIES

 Reporting to the Director General, the Executive Assistant is responsible for providing leadership and coordination for the day-to-day operation of the office of the Director General. The Executive Assistant is responsible for providing confidential administrative assistance to the supervisor and other executives as necessary, ensuring effective and efficient communication between all internal and external contacts.

  • Provides administrative support to the Director General. This includes reviewing all incoming mail with discretion and tact to determine urgency, accuracy and the need for follow-up prior to submission to the Director General.
  • To ensure business priorities of the Director General are managed by facilitating and coordinating communication, expectations, meetings and approvals.
  • Prepares a wide variety of correspondence in the form of emails, reports, agendas and letters with or without review. Prepares various types of draft correspondence to be sent on behalf of the Director General.
  • Completes meeting, travel and expense reports for both the Director General and the Board of Directors’ members. Validates expense reports submitted to the Director General for approval, ensuring accuracy, coding and appropriate approvals and alignment with applicable NHB policies.
  • Accountable for the management of all details associated with meetings as required including but not exclusively Board of Directors and management team meeting, agenda setting, tacking and transcribing accurate minutes and ensure all follow up for which the person his responsible.

QUALIFICATIONS

 College Diploma in Office Administration, or other related discipline, with five (5) years’ experience in a senior administrative role in a medium to large organization (professional experience acquired on other related job functions can compensate for the absence of a college degree).

  • Mastering the Microsoft Office suite and Internet searches.
  • Knowledge of the northern reality and the Inuit people is an asset.

REQUIREMENTS

  • Proven ability to work in tight deadlines, managing complex projects, multiple conflicting priorities and stressful situations with confidence. Must be flexible and possess a good tolerance for ambiguity.
  • Demonstrated judgment, integrity and decision-making abilities.
  • Ability to work in two of the three languages of the region (Inuktitut, English or French).
  • Very strong writing, speaking, presentation and research skills; Excellent listener.
  • Excellent relationship building skills, including the ability to work collaboratively in a team environment
